Costs & Expenses is the ultimate solution for any company running sales in Bitrix24 that wants to finally know what each deal truly costs.

Stop guessing and start tracking all expenses—fixed amounts, commissions, product purchasing prices, and your team’s working hours—directly inside a single Costs tab on any deal, lead, estimate, invoice, or SPA item. See your net cost and profit margins instantly right inside the CRM, eliminating messy spreadsheets.

The app empowers you to effortlessly capture diverse expense types, including direct overheads, product-related costs, and the exact time your team invests in every customer or deal.

You can utilize several flexible cost types:

• Direct – a fixed amount or a percentage (commission) of the price of a deal, lead, invoice, or other CRM item.

• Product-based – a fixed sum or a percentage of the product price. The purchasing price of the product will be added as a separate cost automatically.

• Time-based – calculated dynamically using an hourly rate set individually for each user.

All costs are clearly displayed in the Cost tab of the relevant CRM item. The calculated net cost is also instantly available in a dedicated Cost field, which can be seamlessly used to calculate the margin and profitability of the deal.

Time-based costs are automatically calculated from the tasks linked to a CRM item, using either time tracking or Time spent. This gives you crystal-clear visibility into how much internal time is spent on each deal or customer, helping you precisely calculate CoS and other vital unit-economics KPIs.

The Cost tab is also fully available for Projects. Add fixed project expenses and automatically summarize the time costs of project-related tasks to understand the complete, true cost of any project.

The app is fully configurable: choose which CRM entities should feature the Cost tab and define granular permissions for who can view or edit cost data.

Supercharge your efficiency by automating costs (PRO plan): CRM automation rules or Automation studio actions can automatically add a commission when a deal is won, copy costs from a deal to its invoice, or print a professional CRM document complete with the cost table.

Getting started: a Bitrix24 account administrator installs the app, sets access permissions, and chooses the CRM entities to use cost tables. Users with permissions (for example, the financial department) can then set hourly rates for employees and add typical expenses to the catalog. Once done, the Costs tab is immediately ready in deals, leads, and other CRM items. Step-by-step instructions are conveniently located on the Installation tab.
